Privacy Policy

How we collect, use and protect personal data, and the rights you have over your information.

Last updated: Draft — to be dated on publication

This document is a draft awaiting legal review.

It follows a standard UK structure so that nothing significant is omitted, but it is not legal advice and no template can guarantee compliance. It should be reviewed by a suitably qualified adviser, and the outstanding company details completed, before launch.

Who we are

MadeDigital is the trading name of Made Digital Solutions, a company registered in England and Wales.Company registration number to be supplied

For the purposes of UK data protection law, Made Digital Solutions is the data controller for personal data collected through this website.

  • Registered office: Registered office address to be supplied
  • Contact for data protection queries: Contact email address to be supplied
  • ICO registration: ICO registration number, if registered to be supplied

What personal data we collect

We collect personal data in the following situations.

When you submit an enquiry form

Depending on which form you use, we collect:

  • Your name
  • Your email address
  • Your telephone number, if you provide one
  • Your company name, if you provide one
  • Your website address, if you provide one
  • The information you choose to include in the message fields
  • Your preferred contact method
  • Any file you choose to attach, where file upload is enabled

We also record which page the enquiry was submitted from, the referring website address if there is one, and any campaign parameters present in the link you followed. This tells us how people find us; it is not used to build a profile of you.

When you use this website

If you accept analytics cookies, our analytics provider records information about your visit, such as the pages you view and the type of device you use. No analytics runs at all unless you accept it. See ourcookie policy for detail.

Our hosting provider keeps standard server logs, which may include IP addresses, for security and diagnostic purposes. These are essential for operating the site securely.

When you become a client

If we work together, we will hold the information needed to deliver the work and meet our legal obligations — contact details, correspondence, contractual documents and billing records. Where a project involves us handling personal data belonging to your customers or staff, that arrangement is covered by a separate written agreement rather than by this policy.

Why we use your personal data, and our lawful basis

PurposeLawful basis

Providing services under a contractPerformance of a contract

Marketing

We do not add enquiry contacts to a marketing list without asking first. If we ever introduce a mailing list, joining it will be a separate, clearly-labelled choice, and every message will include an unsubscribe link.

Who we share your data with

We do not sell personal data, and we do not share it for anyone else's marketing. We use a small number of service providers to run the website and our business, who process data on our instructions:

  • Our website hosting provider
  • Our form handling provider, which delivers enquiry submissions to us
  • Our email provider
  • Our analytics provider, where analytics cookies have been accepted
  • Our accounting software provider, for client billing records

The specific providers in use are listed inConfirmed list of data processors to be supplied and will be named here once finalised. We may also disclose information where we are required to do so by law.

International transfers

Some of our providers may process data outside the UK. Where that happens, we rely on an appropriate safeguard recognised under UK data protection law, such as UK adequacy regulations or the International Data Transfer Addendum. The specific arrangements will be confirmed here once providers are finalised.

How long we keep it

  • Enquiries that do not lead to work: kept for up to two years, then deleted.
  • Client records: kept for the duration of our relationship and then for as long as we are required to keep them, which for accounting records is generally six years.
  • Analytics data: kept according to our analytics provider's retention settings.

Your rights

Under UK data protection law you have the right to:

  • Ask what personal data we hold about you, and get a copy of it
  • Ask us to correct information that is wrong or incomplete
  • Ask us to delete your personal data, where there is no reason for us to keep it
  • Ask us to restrict how we use your data
  • Object to processing based on our legitimate interests
  • Ask for your data in a portable format
  • Withdraw consent at any time, where we rely on consent

To exercise any of these, contact us at Contact email address to be supplied. We will respond within one month.

Complaints

If you are unhappy with how we have handled your personal data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office, the UK data protection regulator, atico.org.uk, by telephone on 0303 123 1113, or by post to Information Commissioner's Office, Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF.

How we protect your data

This website is served over an encrypted connection. Access to enquiry submissions is limited to the people who need it. We choose service providers that offer appropriate security, and we keep the software behind this website up to date.

No system can be guaranteed completely secure. We describe the measures we take rather than making assurances we could not evidence.

Children

This website is aimed at businesses and is not directed at children. We do not knowingly collect personal data from anyone under 13.

Changes to this policy

If we change this policy we will update the date at the top of the page. Significant changes affecting how we use personal data will be highlighted here.
